WESTERN STATES HIGHWAY EQUIPMENT MANAGERS ASSOCIATION

The 2015 Western States Highway Equipment Managers Meeting will be held at the Hilton Anchorage Hotel. Situated at 500 West Third Avenue, Anchorage, Alaska the hotel is situated in the downtown area and is near many of the historic Anchorage locations.

Invitational State DOT Attendees will not make their own lodging reservations but will submit a travel planning request form to ncpp@egr.msu.edu. The form is located here. We will then make your travel arrangements and reserve your lodging.

Non-Invitational Attendees may make their lodging reservations at the block rate of $190.00/night by calling 800-445-8667 before August 5, 2015 with the lodging code “WSHEMA”. You may also make your reservations online at http://www3.hilton.com/en/hotels/alaska/hilton-anchorage-ANCAHHF/index.html . Booth Information - Electricity and a wireless internet connection will be available for no fee. If you need additional items (monitors, etc), please contact Kate Sprout at the Hilton Hotel Directly (907-265-7167 or kate.sprout@hilton.com). The exhibit space is a ballroom at the hotel, so it is already carpeted. Each vendor will have one skirted table and two chairs. There will NOT be piping and draping between booths. The tentative floor plan is attached. Once all booths are assigned I will send the final version along with the list of what booth you are assigned to. If you are a sponsor I will be contacting you shortly to pick your booth space.

Shipping information – All incoming packages should be address to the guest receiving package and the name and date of the meeting. Due to limited storage space, boxes can be accepted no more than three (3) working days prior to the meeting. Storage fees will apply if packages are received early. The hotel will charge you directly for storage, delivery or shipping fees. They do charge a individual fee for each parcel received (Boxes $7, Pallets and Crates $150).

Equipment - Those wishing to display equipment are allowed to do so at an Anchorage DOT facility on Tuesday , August 25th. All meeting participants (agencies and vendors) will board buses on Tuesday afternoon. The buses will proceed to the DOT garage to look at the equipment, then go to the Whittier Tunnel for a technical tour, and on the way back to Anchorage stop at the Turnagain House Restaurant for dinner.
